Documents and procedures between Italy and Ukraine

Document procedures between Italy and Ukraine are rarely just a translation or a single form. One case may involve two legal systems: a Ukrainian document must be used in Italy, an Italian document must be valid in Ukraine, or the procedure must be managed in both countries.

A mistake can cause weeks of delay, new appointments, extra costs or rejection of the entire file. This is especially important for permesso di soggiorno, marriage, study, work, inheritance, property sale, powers of attorney and driving licence exchange.

VILAR Assist helps prepare, check, translate, legalise and submit documents to Italian and Ukrainian authorities. We explain where to start, which documents are needed, where to obtain them and in which order to proceed.

The first consultation is free. The cost of our services is agreed at the start of cooperation and depends on the type of procedure and the number of documents.

Who can contact us?

We assist people legally staying in Italy, as well as people in Ukraine or another country who need to handle procedures connected with Italy or Ukraine. We help with relocation, study, work, marriage, inheritance, property sale, powers of attorney, civil status registration, duplicate documents and procedures through a representative.

Procedures we handle:

  • apostille and legalisation;

  • sworn translations for Italian authorities;

  • obtaining duplicate documents in Ukraine;

  • documents for permesso di soggiorno;

  • exchange of foreign driving licences, when possible;

  • documents for marriage, divorce, study, work and inheritance;

  • powers of attorney for actions in Ukraine or Italy;

  • documents for property sale, inheritance or representation;

  • communication with Comune, Questura, Prefettura, Motorizzazione Civile, consulates, notaries, courts and Ukrainian authorities.

What is important to know:

Document requirements depend not only on the law, but also on the authority receiving the document. The same document may require different preparation depending on whether it will be used in Italy, in Ukraine or in both countries.

That is why it is not enough to translate a document. It is necessary to understand where it must be obtained, whether apostille is required, how it must be translated, where it must be certified, where it will be submitted and whether a power of attorney is needed.

What to prepare for the consultation:

• passport, carta d’identità or permesso di soggiorno / ricevuta;

• original document, if available;

• information about the document to be obtained as a duplicate;

• power of attorney, if the procedure must be handled through a representative;

• apostille, if already placed;

• previous translations, letters or replies from the authority, if the document was already submitted and rejected;

• name of the Italian or Ukrainian authority where the document must be submitted;

• short explanation of the purpose: permesso di soggiorno, marriage, work, study, inheritance, property sale or another procedure.

If you do not have all documents yet, that is normal. During the consultation we will explain what can be obtained remotely, what needs to be translated, where apostille is required and in which order it is better to proceed.

  • we analyse your situation and define the documents needed;

  • we identify which steps must be done in Italy and which in Ukraine;

  • we help obtain duplicate documents remotely;

  • we arrange apostille, translations and certification;

  • we prepare files for Italian or Ukrainian authorities;

  • we coordinate notaries, translators, consulates and representatives;

  • we support the process until the result is obtained.
